Crisis Group is looking for a well organised executive assistant and office manager to support the office of our President & CEO, Comfort Ero, and to manage the running of our Brussels office.
You work closely together with the Senior Assistant to the President to
Manage the President’s diary, including scheduling appointments, meetings and speaking engagements, and make sure that the President has all relevant information and documents ahead of meetings;
Develop itineraries and arrange all travel, domestic and international, for the President and Executive Vice President including: flights, other transport, accommodation, visas and other necessary travel documents;
Manage the President’s and Executive VPs financial details, including expenses & reimbursements;
Review and prioritise incoming correspondence and draft selected correspondence;
Organise or support organising staff events including the bi-annual board meetings and internal staff retreats;
Track briefing memos, development proposals and other matters that are pending approval;
Support the organisation of the bi-annual Board meetings.
Manage the Brussels office reception and serve as the first point of contact for all office visitors and inquiries (email, mail, phone, etc);
Provide logistical support to staff and visiting staff and facilitate group visits as relevant;
Handle administrative functions such as approving invoices, directing incoming mail, liaising with vendors, supervising service delivery, maintaining office/food supplies and others functions that help keep the office running smoothly;
Assume role of Travel Manager (add/change/delete staff profiles, first point of contact for internal customer liaison and main organisational contact with Egencia for problem resolutions);
Provide other support as needed.
We are looking for a candidate who has at least 1 year of relevant administrative or office support experience, preferably in an international organisation. Since our working language is in English, you are required to be fluent in English. French or Dutch language skills would be an advantage. You are very well organised, able to prioritise, have strong communication skills and an eye for detail.
